How to use the calendar event link generator

Enter the event title, start and end times, the time zone those times are in, a location or meeting URL and a short description. The tool builds Add to Calendar links for Google Calendar, Office 365, Outlook.com and Yahoo, plus a downloadable .ics file that works in Apple Calendar and every desktop calendar app. Copy the embed HTML into your email or landing page.

Why add calendar links

Webinar sign-ups, event invitations, product launches and onboarding emails all work better with a one-click way to save the date. Once the event is in someone's calendar, they get a reminder from an app they already check every day. The .ics standard works almost everywhere, and the platform-specific links make it even smoother for Google and Microsoft users.

Common use cases

  • Webinar confirmation emails
  • Event invitation landing pages
  • Onboarding flows with scheduled milestones
  • Pre-event emails for conference attendees
  • Sales meeting confirmations
  • Product launch reminders

Time zones matter

Without a time zone, a 2 pm Eastern webinar can show up as 2 pm for someone in California when it should be 11 am. This tool converts your local time to UTC in every link and in the .ics file, so each guest's calendar shows the right local time automatically.

Frequently asked questions

Why does the event show a different time in my calendar?

Calendar apps display events in the viewer's own time zone. If you are in a different zone from the one you selected, the time will look different, but it is the same moment.

Can I create recurring events?

This tool creates single events. For a repeating event, add an RRULE line to the downloaded .ics file or set up the series in your calendar app.

How do I add attendees or attachments?

The .ics format supports ATTENDEE and ATTACH fields, which you can add by editing the downloaded file. The Google and Outlook links do not support attendees, so guests are invited through each platform's own interface.

Should I use the .ics file or the platform links?

Offer both. Show Google, Outlook and Apple options side by side so every guest gets a one-click choice that fits their calendar.
